Handovers

A handover is a formal transfer of one or more assets — either to a new owner or back to storage. Every handover produces a signed PDF record.

When you complete a handover, Inventorix:

  1. Updates each asset’s state based on the handover type (see table below).
  2. Sets the asset’s owner if the handover type assigns ownership.
  3. Records a handover_completed event in the asset’s history log.
  4. Generates a signed PDF receipt and stores it.

Issue and Lend also set the recipient as the asset’s owner. Return and Return defective clear the owner.

You can start a handover from two places:

  • From an asset row — open the action menu (three dots) on any asset in the assets list and choose Übergabe.
  • From a bulk selection — select multiple assets in the assets list and use the Übergabe (mehrere) bulk action.

Both options open the same four-step wizard.

Step 1 — Art & Gegenstände (Type & Items)

  1. Select the handover type (Issue, Lend, Return, or Return defective). The wizard pre-selects the most likely type based on the first asset’s current state.
  2. Select the assets to include. The dropdown is filtered to show only assets whose current state is valid for the chosen type. If you launched from an asset row, that asset is already selected.
  1. Choose the recipient kind:
    • Interner Mitarbeiter — an existing user in the system. Selecting a user auto-fills the name and e-mail fields. Only users with login enabled appear in the dropdown — users whose login has been disabled are not listed.
    • Externe Person — an external person not in the system.
  2. Fill in the recipient’s Name (required) and E-Mail (optional).

The final step shows a confirmation of the recipient name and a signature pad. The recipient draws their signature directly on screen.

Click Submit to complete the handover. The wizard records the signature, the signing IP address, and the user agent at that moment.

After submission, a success notification appears with a View handover button that links to the new handover record.

Navigate to Übergaben > Handovers in the sidebar. The table lists all completed handovers, newest first.

Click View on any row to open the handover detail page. The page is divided into sections:

  • Recipient — name, e-mail, recipient kind, handover type
  • Details — accessories, condition notes, agreement text
  • Items — a table of assets showing model, serial number, state before, and state after
  • Signature — the captured signature image
  • Metadata — signed at, handled by, signing IP address, e-mail sent at

From the handover list, click Herunterladen in the PDF column. The link is time-limited (valid for 5 minutes) and downloads the file as handover-<id>.pdf.

If the PDF failed to generate, the detail page shows a Retry PDF button that re-queues generation.

Every completed handover is recorded as a handover_completed event on each involved asset’s History tab. The summary column in the history log shows the type and recipient, and clicking it navigates directly to the handover record.
